How do you prove ownership for an insurance claim?

The exact documentation an insurer accepts depends on the policy, item and claim. The strongest approach is to keep multiple records that identify the property and connect it to you before a loss occurs.

Why multiple records matter

One document may not tell the whole story.

A receipt can document a transaction; a photograph can document the item and its condition; a serial number can distinguish one unit from another; and an appraisal may help describe certain valuable property. Together, those records can create a clearer history than any one record alone.

The IRS also recognizes that, for casualty or theft loss substantiation, other satisfactory evidence may be used when actual records are unavailable. That tax rule is not an insurance-claim rule, but it illustrates why preserving several forms of documentation can matter. IRS Publication 547.
